TERMS & CONDITIONS

 

Thank you for choosing Beare’s Den Campsite for your camping holiday. We do our best to ensure that all our campers are able to enjoy their time with us with the best conditions we can offer.

We reserve the right to change these Terms at any time. Any such changes will take effect immediately when posted on the Website or otherwise brought to your attention. It is your responsibility to read the Terms each time you submit a booking request and any such request shall signify that you have accepted to be bound by the latest set of Terms.

Please read our campsite Terms and Conditions carefully, before booking your pitch, thank you.

 

Booking

We take bookings throughout the season, and it is essential to book if you want to visit us during school or Bank Holidays. Please book online on our Bookings page.

Your booking is for the pitch, dates and the number of people as stated on your booking confirmation (we do not accept touring caravans). 

Although we encourage you to check the site map and choose your preferred pitch, we cannot guarantee a particular pitch, and reserve the right to reallocate your pitch to ensure the best use of space, particularly during busy periods.

In peak and high seasons, pitches are available from 2pm on the day your holiday commences. In value and low seasons, you may arrive earlier, by prior arrangement.  

Guests must vacate by 10.30am on the day of departure and leave the pitch in a clean and tidy state. 

Pitches offered are for one tent and car or one camper van only. Extra tents MUST be agreed upon booking and will incur a pitch fee. If you have an extra vehicle, this must be booked (prior to your stay) and will be subject to availability and space on your pitch. All extra vehicles must fit within your pitch parameter.

A pitch consists of approximately 6m x 6m space.  In addition to this, there will be charges for all guests. It is your responsibility to ensure that you can fit both your vehicle and unit on the pitch allocated to you. If you decide to bring extra guests, these must fit within the pitch.  

Dogs are welcome to stay and must be included when booking. There is a small fee of £1.50 per day, per dog. Dogs must be supervised at all times, kept on a lead and all mess picked up immediately and disposed of appropriately. 

Once booked, we will confirm your booking indicating that a pitch has been reserved for you on the dates required via email. 

Bookings are not transferable in any circumstances. The person who signs the Booking Form is responsible for the booking, all members of the party and warrants that they are over 18 years of age and that the party will not exceed the numbers stated on the booking form.

If you wish to extend your stay beyond the booked dates, there is no guarantee that the same pitch will be available. 

Amendments to bookings, including, but not limited to, changing dates, reducing the number of people or pitches, removing extras count as a cancellation so fall into our cancellation terms.

If you wish to amend your booking by way of adding guests, adding extras, please notify us as soon as possible and we will do our best to accommodate your request, although this may not always be possible, depending on availability. 

There is a maximum of 4 adults per pitch. 

We do NOT accept tow along vehicles or trailers on motorhomes.

Hikers pitches – these are discounted pitches reserved for those walking the South West Coastal Path or cyclists with a motor vehicle. These pitches are shared with other hikers and have no space for vehicles. Bookings can be made via the website. 

 

​Pitches 

There are electric pitches and non-electric pitches on site. 

All pitches are a minimum of 6mx6m (except hikers pitches). 

You must pitch as directed by the ground staff, not encroach upon any other pitches and you must consider fire risk limitation, safety and access. 

All tents and vehicles must fit within the boundary of your pitch. 

From our experience, 2, 3, 4 and 5 person tents fit on all pitches. 6 person tents will fit on pitches 1, 2, 3, 4, 8, 14, 15, 16, 17, 18, 19, 20 and 21. 7 person tents or bigger can only be located on pitches 14, 15, 16 and 17. Please note that only pitches 1-9 have electric hook ups. 

If you pitch outside the boundaries of your pitch or your unit is judged to pose a risk to the safety and comfort of others you will be asked to move.

Due to the damage caused to the grass, we request that you only use breathable ground sheets within awnings and communal areas of tents. For stays over 7 days we will ask you to move your tent within your pitch to preserve the grass. 

For tented camping, solid ground sheets are only allowed in sleeping areas or where it is a part of the tent itself (fixed/sewn in groundsheet). No plastic, tarpaulins, mats, awning tiles, carpets or rugs etc. to be used on grass. 

Hikers pitches – we have additional pitches available for hikers walking the SW coast path ONLY. These pitches are shared with other hikers and therefore at a reduced rate. Tents should be no larger than a 2-person tent. These pitches do not have any space for any form of vehicle (except bicycles). Please note that these pitches are for hikers only. 

Payment & Cancellations

Upon booking, we will ask for full payment of your stay. There is a non-refundable deposit of 50% of your stay. For cancellations made within 14 days of your check-in date, no refund is made. For cancellations made 15 days or more from your check-in date, a 50% refund will be given, upon request. 

Cancellation by you due to inclement weather, non-arrival of party members, arrival after the due date, leaving early or events beyond our control will not be eligible for a refund.

Refunds will be given in the event of a National Lockdown (local lockdowns are not eligible) due to COVID-19. 

 

Contract

The contract is with Elizabeth Willis of Beare’s Den Campsite, Trevean Farm, Rosudgeon, Penzance, Cornwall, TR20 9PF. Beare’s Den is not liable to any person visiting, for any personal injury, fatal or non-fatal unless caused by a negligent act or omission by the company or its employees. Beare’s Den is not liable for any injury, loss or damage to any property including motor vehicles and personal effects, howsoever caused or sustained.

 

Safety on site

The speed limit is 5mph. Please drive SLOWLY. This includes bicycles and any other wheeled conveyances. Drivers must hold a licence and have tax and MOT as appropriate. No recreational vehicles such as motorised scooters or quad bikes are allowed.

You must ensure children in your party are properly supervised at all times, in all areas of the site and surrounding farm.

If you bring a dog, this remains your responsibility at all times, it must be on a lead and not left unattended. You must clean up after your dog. 

Open fires and ground level barbecues are not permitted. Fire pit barbecues, to prevent grass damage, are available for you to use, depending on availability. 

The use of generators is not permitted on site. 

Cutting or damaging trees and other vegetation is strictly prohibited and the natural conditions are not to be disturbed. This includes tying ropes to, or driving nails into trees, bushes and fences. 

All tracks/access roads are to remain clear at all times.  Due to the nature of our working farm, vehicles require access at all times. 

In case of fire, buckets of water are provided in two locations at the top end of the site. 

All guests are to familiarise themselves with the Health and Safety information provided in the communal kitchen.

 

Facilities

Beare’s Den provides toilets, showers (male and female) and washing up facilities for pots and pans, etc. Please leave these areas clean for all guests to enjoy. Please do not put food waste down the sinks. Please note that there are no cooking or refrigeration facilities available for guests. 

The toilet and shower system is somewhat different from normal.  We have a large holding tank which we try to keep emptying to a minimum and ask guests to be sensible with showering time. 

Only human waste and toilet paper provided must be deposited in the toilet. 

There are bins provided in each cubicle for any other waste including wet wipes, sanitary towels, tampons and nappies. PLEASE DO NOT PUT ANY OF THESE DOWN THE TOILET.

Children under 8 are to be supervised whilst using the facilities.

Please ensure all taps are turned off so as to ensure no water wastage.

Please use the bins provided for your waste. 

Guests are asked not to leave any belongings in or around the toilet/shower and wash area.

Whilst every effort is made to ensure that all advertised facilities are available, it may sometimes be necessary to close or limit a facility for safety or improvement reasons.

There is NO WiFi available on site. 

Fire pits and BBQ’s

Beare’s Den operates a strict policy on the use of fire pits and BBQs. To avoid scorching the grass all fire pits and BBQ’s must be at least 1 foot off the ground, on legs. 

Guests must not light any fires on the ground, in the campsite field or anywhere on the farm.

Foraging for wood is strictly forbidden.

Logs can be purchased from Beare Necessities HorseBox on site between 8am and 10.30am. We are not able to supply logs outside of these hours, however they can be purchased from the local Co-Op in the village. 

Fire pits and BBQs must be situated in a safe place and a safe distance from any entrance to tents.

It is the guest’s responsibility to be safe and responsible when using fire pits and BBQs.

In the event of a fire, guests are to raise the alarm as set out on the information board. 

 

Waste and Recycling

There are 2 large bins (red) for general waste. Please place your waste into bin bags before depositing into the dumpster. 

Recycling bins (large green/blue) are also provided for plastics, paper and tins. These bins are labelled ‘dry, mixed recycling’. Do not place glass in these bins.

There are separate recycling bins for glass (smaller grey/black wheelie bins).

Currently we do not have separate bins for food waste so this should be added to the general waste bins. 

We are unable to dispose of tents, camping chairs or other unwanted camping items so please take these home with you and dispose of them appropriately. 

At Beare’s Den we try to be as environmentally friendly as possible. We would appreciate your cooperation with this by using the bins provided. 

 

Electric Vehicles

Strictly no charging of EV on your pitch. There are charging points available by prior arrangement for a fee.

Groups

No hen/stag parties, weddings or large adult only groups are allowed.

In order to keep the site as peaceful as possible for everyone’s enjoyment we do not accept groups (which for us is more than 4 adults or more than 2 families who know each other) on the site. If you book separately and we see a group forming, you may be asked to leave the site with no refunds given. 

Although we will do our best to make sure that 2 families camping together are near to each other, we cannot guarantee this as sometimes pitches need to be reallocated (please see Bookings section of this document). 

Visitors

Due to lack of car parking space, we are unable to accommodate visitors’ vehicles on site unless they are able to fit on your pitch. All visitors should vacate the site by 9pm at the latest. 

General Information

Beare’s Den is licensed through Freedom Camping. 

Pitches must be left clean and tidy.

Guests must pay for any damage caused to Beare’s Den property.

Beare’s Den wants to ensure that all guests can have an enjoyable stay; therefore noise is to be kept to a strict minimum after 10.00 pm. Please respect the other campers and residential neighbours of the campsite. Guests who are not respectful of this request will be required to vacate the site the following morning and no refund will be given.

The use of illegal drugs is strictly forbidden. 

Do not throw cigarette ‘butts’ into the hedge or leave them on the floor, as this can create fires and will harm the local wildlife if ingested. 

We fully understand that ‘holiday’ means a few drinks, however, excessive and rowdy behaviour will not be tolerated and will result in being asked to vacate the site, and no refund will be given. 

Beare’s Den asks all guests to be respectful to residents of Trevean Lane who live along the approach road to the campsite. The lane is narrow in places and sometimes reversing to allow another car through is required. 

Beare’s Den limits its liability to the campsite field and facilities.  As the coastline and surrounding beaches are in the public domain, guests are RESPONSIBLE FOR THEIR OWN SAFETY whilst accessing these.

Guest unforeseen events – We recommend you take out travel insurance, as we do not provide refunds for unforeseen events. “Unforeseen events” are defined, but not limited to: bereavement, jury service, personal illness or illness of someone within your party, risk of contagious disease, redundancy and unavoidable work commitments. We strongly advise that anyone falling ill with a highly infectious disease should act responsibly and stay away from public areas (and other holidaymakers). If in any doubt about the risks of exposing the public (and members of your holiday group) to a contagious disease, please seek medical advice. Some infectious diseases have the potential to cause serious health implications (or death), and as such, we will consider sending any holidaymaker home, who does not act responsibly, or who acts with intent to spread the infection. 

Complaints

If there is a problem or dissatisfaction with any matters under our control, please notify us immediately, so we may have the opportunity to rectify issues. We cannot accept liability of whatever nature if you fail to notify us within seven days from the end of your stay with us.

We reserve the right to ask you to vacate the site at any point of your stay if there is a failure to comply with the terms set out in this document.  There will be no refunds given in these circumstances. 

The farm itself is where we live and our children play, it’s private and we ask you to respect our privacy.

For your information – Our dogs here on site

We have two dogs here at Beare’s Den. Ula is a chocolate sprocker and like most spaniels has unlimited energy and given the chance will endeavour to explore your tent for food.  Lakey is the newest member of the family and is the daughter of Ula. Lakey is black and white and has twice the energy of her mother. 

We do our very best to keep Lakey and Ula away from the site (as they can be like 2 whirlwinds) however the temptation for them to come and play is sometimes too much. Ula will bring anything to you to be thrown (and will bark until her wish is commanded). We are training her not to do this, therefore we ask that you do not throw anything for her, and say ‘all gone’ and turn away from her.
